Purpose of the Job: Reporting to the Director of Credit & Collections, the Cash Application-Collections Coordinator is responsible for performing collection activity for an assigned portfolio of accounts in conjunction with established policies and procedures; account reconciliation and dispute resolution. 


Key Accountabilities: 

  • Verifies payments and ensures that all required paperwork is accurate including payment numbers and amounts paid.
  • Compiles, batches and applies customer payments to customer accounts
  • Post check, EFT and ACH payments
  • Communicates with customers to ensure proper payments amounts are applied.
  • Confers with customers on short-paid balances, unidentified payments, and possible process enhancements.
  • Spend time researching customer duplicates, missed payment and requests for refunds when needed.
  • Process Closings
  • Understand customers’ websites (where applicable) and how to retrieve remittance backup.
  • Perform Collections activity for a designated portfolio of accounts with backup responsibility for team member accounts; this includes timely collection and effective contact, negotiation, notation, escalation, and dispute investigation/resolution.
  • Coordinate with Sales/Customer Service and other impacting parties regarding order releases, payment delays, resolve customer disputes and perform timely account reconciliations.
  • Administer Proforma process for all prepayment accounts, including account reconciliations (as needed)
  • Perform required Manual Billing requests following procedures (as needed)
  • Resolve designated residuals following procedures



  • High school degree or equivalent required; Bachelors degree preferred
  • Comprehensive knowledge of the order-cash process in a manufacturing environment
  • 5 years’ experience business experience including 4 years in collections/ cash application required
  • Strong demonstrated verbal/written communication skills
